Group Breakdowns

Group Breakdown selectors allow you to select groupings that you would like to include in a table or visualization. In QuickSight, there are two levels of selection to select group breakdowns to apply.

First, select a Group Breakdown Category to find available groupings.

Then, select a Group Breakdown field from the corresponding Group Breakdown selector (e.g. Group Breakdown 1 to correspond with Category - Group Breakdown 1 used above).

Using Multiple Group Breakdowns on Multilevel Crosstab Tables

On Multilevel Crosstab Table pages of the dashboards, you have up to four levels of Group Breakdowns to choose from. These will populate the columns that are blank by default in the table.

Filter Visualizations When Group Breakdown Results in “Other” Category

In QuickSight, some visualizations  automatically add a category of “Other” when a selected “Group Breakdown” has more than 50 categories.

Example: “Academic Plan” selected as “Group Breakdown” on dashboard.

This can result in graphs that are hard to interpret and colors that are mismatched between two visualizations on the same dashboard.

Use appropriate filters on the dashboard to limit the data to just those Group Breakdown categories you wish to analyze.

For example, you may apply a “CSU Academic Plan Owner” filter to limit “Academic Plans” returned in the data visualization just to those you are interested in analyzing. See “College of Business” filter applied to limit “Academic Plans”.

Metric Selectors

Metrics selectors on dashboards allow you to change between available metrics available on a dashboard to include in the dashboard visualizations and tables.

Change metrics using the selectors to select from the available options.

View Selectors

View Selectors on dashboards allow the user to change between available views or layouts on the dashboard, when available.

Look for the Select View or Select Layout dashboard selector. Open the dropdown menu to select a different view or layout.

Visualizations with Scroll and Zoom Functionality

Some dashboard visualizations are set up with axis scroll and zoom functionality in QuickSight.

These will appear as scroll bars for the vertical axis to the right side of the visualization or for the horizontal axis below the visualization.

Zoom in and out by clicking the ends of the scroll bar and dragging them left or right. To scroll through the axis, you click on the scroll bar and drag left or right

Expanding Dashboard or Visualization Views

On various sized screens, you can expand the entire dashboard or a specific visualization to fill the entire window.

To expand the entire dashboard, click the View icon in the upper right corner of a dashboard.

Then select the Fit to window checkbox.

To return to the default dashboard view, deselect the Fit to window checkbox.

To expand an individual visualization on a dashboard, hover over the upper right corner of the visualization area and select the Maximize icon.

To return the visualization to the default dashboard view, hover over the upper right corner of the visualization area and select the Minimize icon.

Mouseover Tooltips on Visualizations

Hover with your mouse cursor over data visualizations on QuickSight dashboards to see Mouseover Tooltips with additional information and data.

Note: Group Breakdown and Metric headers do not appear in Mouseover Tooltips in QuickSight, so you will need to reference the Group Breakdown and Metric Selectors you made at the top of the dashboard page to see what Group Breakdown or Metric you have selected.

Sorting Data

Tables in QuickSight can be sorted in a variety of ways depending on the table setup.

Simple Table Sorts

Sort Using Metric Column Header

In simple tables without expand/collapse functionality or nested rows (pivots), you can sort on a Metric column by clicking on the column header and selecting “Sort ascending” or “Sort descending”. Click “Clear sort” to remove the sort.

You also can click on the row column header to control the table sort condition and choose which field to sort by. You first choose a “Sort by” column and then a “Sort order”.

Multilevel Crosstab Pivot Table Sorts

On Multilevel Crosstabs and other more complex Pivot Tables with collapsable and nested rows, sorting using the metric column header may not work as expected because the sort in QuickSight uses the innermost layer (row header) as the basis of the sort.

In these cases, choose the row header for the layer you want to sort across and then select your “Sort by” and “Sort order” selections. You can use this approach to apply sorts across multiple row header columns. You can then use Pivot Table Collapse / Expand interactions to explore the sorted columns.

Undo / Redo dashboard changes

You can undo or redo changes you make to visualizations on dashboards, when applicable, using the Undo and Redo buttons in the upper left under the QuickSight header.

Reset a filter or selector selection

If you’ve made a filter selection that you want to remove and reset to the dashboard default, click the Options menu in the upper right corner above that filter or selector (appears on hover).

Then select Reset.

If you’ve made changes to filters and other selectors on a dashboard and want to reset to the dashboard defaults, click Reset to original dashboard icon in the upper left below the QuickSight header.
